What a UK invoice must include
- A unique identification number
- Your company name, address and contact information
- The company name and address of the customer you are invoicing
- A clear description of what you are charging for
- The date the goods or service were provided (supply date)
- The date of the invoice
- The amount(s) being charged
- VAT amount if applicable
- The total amount owed

What to add on a garage invoice
Vehicle registration, make and model
The single most useful line on a garage invoice. It is how the customer files it, how a future buyer verifies the work, and how you find the job again when they ring in eighteen months. Put the reg at the top, not buried in the description.
Mileage at the time of the work
Costs you three seconds and settles arguments years later. It also matters to the customer at resale — a service history with mileage recorded is worth money on a forecourt.
Parts and labour listed separately
Customers query a single lump sum far more often than they query the same total broken into a part number and an hourly rate. Separating them also makes your own margin visible to you, which most garages find uncomfortable and useful in about equal measure.
What was found, not just what was done
A one-line note on anything you spotted but did not fix — a tyre near the limit, a weeping hose — is a professional record and the most natural next booking you will ever generate.
Payment terms and how to pay
Due date, bank details, and whether you take card. An invoice with no due date is a suggestion.

- What must a UK garage invoice include?
- GOV.UK requires a unique identification number, your company name, address and contact information, the customer's name and address, a clear description of what you are charging for, the supply date, the invoice date, the amount(s) being charged, the VAT amount if applicable, and the total amount owed. For a garage it is also worth adding the vehicle registration, make and model, and the mileage at the time of the work.
- Do I need to charge VAT on a garage invoice?
- Only if you are VAT registered. If you are, you must use a VAT invoice, show your VAT number, and show the VAT separately from the net amount — the template below does this. If you are not VAT registered, delete the VAT rows and do not show a VAT number. Check the current registration rules on GOV.UK rather than relying on a template.
- Is this invoice template really free?
- Yes, and there is nothing to sign up for. Print it or save it as a PDF straight from this page, or copy the structure into whatever you already use. We would rather be the page that helped than the page that asked for your email first.
- Can I edit the template?
- Use your browser's print dialogue to save it as a PDF, then fill it in — or, more practically, copy the layout into Word, Google Docs or a spreadsheet and keep it as your master. The value here is the structure and the field list, not the file format.
- How do I number my invoices?
- Any scheme works as long as each number is unique and they run in sequence — INV-0001, INV-0002 and so on is completely fine. What matters is that you never reuse a number and never leave unexplained gaps, because both make your books harder to reconcile and harder to defend.
