Garage management software is the system that runs the admin side of a workshop: taking the booking, building the jobsheet, holding the customer and vehicle record, raising the invoice, and chasing the next visit. In a UK garage it also has to understand the things that are specific to this country and this trade — registration plates, DVSA data, MOT expiry dates, and the fact that a vehicle's history matters more than a customer's.

Most garages arrive at it the same way. The diary is a paper book or a shared calendar, the jobsheets are a pad, the invoices are a spreadsheet or a Word template, and the customer records are in somebody's head. It all works until it doesn't — until a booking is double-taken, or an invoice goes out three weeks late, or a customer rings to ask what you did to their car in March and nobody can say.

Takes the booking without a phone call

A public booking page your customers reach from Google, your Facebook page or a text message. They pick a service and a time; you approve it before it enters your diary. The evening phone tag disappears, and because the page is public it gets found on its own — booking pages for garages already on Garage Shift rank on the first page of Google for local searches.

Knows the vehicle from the registration

Type the reg and the system fills in make, model, fuel type, MOT expiry and tax status from live DVSA data. This is the single clearest dividing line between garage software and general trade job-management software: a plumbing app has no concept of a registration plate, so somebody types the vehicle in by hand every time and nobody notices when an MOT lapses.

Turns the job into a jobsheet and the jobsheet into an invoice

Parts and labour go on as you work, the jobsheet becomes a professional PDF invoice, and the invoice pushes through to your accounting software so nothing is entered twice. For a mobile mechanic this is the difference between invoicing from the driveway and doing paperwork on Sunday.

Keeps history against the vehicle

Every job, invoice, note and photo attached to the reg rather than scattered across a customer's name, a notebook and a text thread. When that customer rings in March next year, the answer is on the screen in five seconds — and when the vehicle is sold, the history stays with it.

Brings customers back automatically

MOT expiry dates checked daily against DVSA and a reminder emailed under your name before each one is due, once per cycle. It is the cheapest marketing a garage has: the work is already on the books, it just needs asking for.

Tells you what the business actually did

Jobs completed, invoices raised, what was paid and what is outstanding — in a form you can look at rather than reconstruct. Most garages discover at least one thing they were wrong about within a month of being able to see it.

Eight things to check before you buy

These apply to any system, not just ours. Work through them before you sit through a demo.
  1. Is it built for vehicles, or for trades in general?

    A lot of what gets marketed as garage software is general field-service software with a coat of paint. Test it in thirty seconds: can you type a registration and have it fill in the vehicle? If not, you will be typing every vehicle by hand for as long as you own the system.

  2. Is the price published?

    Several UK vendors quote only after a demo. That is a legitimate way to sell, but it means you cannot compare without booking calls, and it usually means the price varies by customer. If you would rather just know, look for a system that puts the number on the page.

  3. What does year one cost, not month one?

    Add the setup fee, the migration cost, any per-user charges at the headcount you expect to have, and metered extras like SMS and registration lookups. A £149/month system with a £1,500 setup fee costs more in year one than a £199/month system with none.

  4. How long are you tied in?

    A discounted rate on a minimum-term agreement is only a discount if the system suits you for the whole term. Ask what happens in month four if it doesn't.

  5. Does it work on the device you actually hold?

    Not 'is there a mobile app', but: can you complete a real job on a phone — update the status, add parts, take payment, send the invoice — without going back to a desk? For mobile mechanics this is the whole product. Browser-based systems avoid app stores and per-device licences entirely.

  6. How does your data get in, and how does it get out?

    Ask whether migration is included or quoted, what formats they accept, and whether service history comes across or only the customer list. Then ask the less comfortable question: if you leave in two years, what do you get back and in what format?

  7. Does it connect to your accountant's software?

    Xero, Sage, QuickBooks — whichever your accountant uses. Invoices syncing automatically removes an entire recurring job; invoices that don't sync create one.

  8. Can you try it before you talk to anyone?

    A live demo you can open in a browser tells you more in ten minutes than a scheduled call does in an hour, because you find out what the system feels like when nobody is steering you around the awkward parts.

The costs that are not in the headline figure

Setup and implementation fees

A one-off charge to get you onto the system, and the largest single variable in year-one cost. GDS publishes setup fees of £350, £450 and £1,500 depending on tier. TechMan charges an onboarding and implementation fee on its rolling Flexi plans, and folds the same cost into the monthly rate on its minimum-term Partner plan — which is worth knowing, because a 20% lower monthly rate that runs for three years is not automatically cheaper than a higher rate you can leave in thirty days.

Per-user charges

Some systems price per named user, so the bill grows every time you take somebody on. It is worth asking directly, because the answer varies: TechMan states plainly that it does not charge per user except on its entry Starter Flexi plan. If you are a sole trader today but expect two technicians next year, model the price at the headcount you are heading for, not the one you have.

Metered extras

The subscription often covers the software and not the things the software does. GDS charges SMS messages, DVLA/DVSA registration lookups and Haynes Pro technical data as separate credits. Registration lookups in particular are not a rounding error — you use one on essentially every job.

Technical data subscriptions

Autodata and HaynesPro are separate products with their own licence costs. A garage management system may integrate with them, which is genuinely useful, but integrating is not the same as including. If the quote does not say which, ask.

Minimum terms and notice periods

A rolling monthly contract and a three-year agreement at a lower rate are different products, not different prices for the same one. The second is cheaper per month and considerably more expensive if the system turns out not to suit you in month four.

Data migration

Getting your existing customers, vehicles and history out of your old system and into the new one is work, and it is sometimes quoted separately. Ask whether it is included, what formats they accept, and whether service history comes across or just the customer list.

Independent garages

One to five people, servicing and repairs, maybe an MOT bay. You need bookings, jobsheets, invoicing and vehicle history to work without ceremony, and you do not need the multi-site reporting a group needs. The main thing to avoid is buying a system whose complexity is priced for a business three times your size.

Mobile mechanics

No premises, work booked to the customer's driveway, and the biggest cost on the P&L is the driving between jobs rather than the jobs themselves. You need everything to work on a phone, and you need bookings to cluster geographically rather than scatter across the county. Very little software in this market is built with that as a first assumption.

What is garage management software?
Garage management software is a system that runs the administrative side of a vehicle repair business: online bookings, jobsheets, invoicing, customer and vehicle records, and service or MOT reminders. In the UK it typically also looks vehicles up by registration against DVSA data, so make, model, MOT expiry and tax status fill in automatically rather than being typed by hand.
How much does garage management software cost in the UK?
Published prices for UK garage-specific systems generally start at around £145 a month, and several vendors do not publish a price at all, quoting instead after a demo. Setup fees of £350 to £1,500 are common, and some systems charge SMS messages and registration lookups as metered extras on top. Do I need garage management software for a small garage?
Not strictly — plenty of garages run on a paper diary and a spreadsheet. The point at which it starts paying for itself is usually when you lose a booking, invoice late often enough to notice it in the bank, or cannot answer a customer's question about work you did six months ago. For a one or two-person garage the deciding factor is normally whether the monthly cost is less than the work you win back from automatic MOT reminders.
What is the difference between garage software and general job management software?
General trade apps such as those sold to plumbers and electricians handle scheduling, quotes and invoicing for any trade, but they have no concept of a vehicle. They cannot look a registration up against DVSA data, they do not track MOT expiry, and they attach history to the customer rather than to the vehicle. For a garage those three things are most of the job.
Is cloud-based garage software better than a desktop system?
For most independent garages, yes. A cloud system works from any device with a connection, needs no server in the office, updates itself, and backs itself up. The trade-off is that it needs an internet connection to work — if yours is unreliable, that matters. Can garage management software send MOT reminders automatically?
Good ones can. Garage Shift checks the MOT expiry dates on your customers' vehicles daily against live DVSA data and emails each customer before theirs is due — under your garage's name, once per MOT cycle, with a booking link. You choose how far ahead reminders go out and which customer types receive them.
How long does it take to switch systems?
Most of the elapsed time is data migration rather than setup.
